Freezing the past year's transactions
Freeze
the past year's transactions with a password after all adjustments have been made. You'll
be able to view the earlier transactions as you normally do, but QuickBooks will ask for the password if you
try to change them.

each year is highly recommended. Keep one on your premises and one offsite.
